Summary and recommendation
SproutVideo user management can be run manually, but complexity usually increases with role models, licensing gates, and offboarding dependencies. This guide gives the exact mechanics and where automation has the biggest impact.
SproutVideo's team member management lives entirely in Account Settings → Team Members.
Access is role-based with four fixed tiers - Owner, Admin, Manager, and Viewer - and no custom role creation is supported.
Team members are added by invitation only;
the invitee must accept via email before access is active.
Quick facts

User types and roles
| Role | Permissions | Cannot do | Plan required | Seat cost | Watch out for |
|---|---|---|---|---|---|
| Owner | Full account access: billing, plan management, all video content, all settings, team member management. | Cannot be removed or reassigned by other team members; only one Owner per account. | All plans | Included as primary account holder; does not consume a team member seat. | Ownership cannot be transferred through the UI; requires contacting SproutVideo support. |
| Admin | Can manage all videos, folders, players, and team members. Can access account settings except billing. | Cannot manage billing or change the account plan. | Sprout plan or higher (team members feature not available on Seed plan) | Counts as one team member seat; seat limits vary by plan. | Admin role grants broad access including the ability to delete videos and manage other team members below Owner level. |
| Manager | Can upload, manage, and delete videos and folders assigned to them or shared with them. Can manage video settings and privacy. | Cannot manage team members, access billing, or modify account-level settings. | Sprout plan or higher | Counts as one team member seat. | Access scope may be limited to specific folders depending on how the Owner/Admin configures folder-level permissions. |
| Viewer | Read-only access to videos and analytics within the account. Cannot upload or modify content. | Cannot upload, edit, delete videos, manage settings, or manage team members. | Sprout plan or higher | Counts as one team member seat. | Viewer role is intended for stakeholders who need to review content or analytics without editing capability. |
Permission model
- Model type: role-based
- Description: SproutVideo uses a fixed set of predefined roles (Owner, Admin, Manager, Viewer). Roles are assigned per team member at invite time and can be changed by the Owner or Admin. No custom role creation is supported.
- Custom roles: No
- Custom roles plan: Not documented
- Granularity: Role-level only; no per-object or per-video granular permission overrides beyond folder-level access scoping available to Admins.
How to add users
- Log in as Owner or Admin.
- Navigate to Account Settings → Team Members (https://sproutvideo.com/account/team_members).
- Click 'Invite Team Member'.
- Enter the invitee's email address.
- Select a role (Admin, Manager, or Viewer).
- Click 'Send Invitation'.
- Invitee receives an email and must accept the invitation to gain access.
Required fields: Email address, Role selection
Watch out for:
- Team Members feature is not available on the Seed (entry-level) plan; upgrade to Sprout or higher is required.
- Each plan tier has a maximum number of team member seats; exceeding the limit requires a plan upgrade.
- Invitee must accept the email invitation before they can access the account; pending invitations occupy a seat slot.
- Invited users must create a SproutVideo account if they do not already have one.
| Bulk option | Availability | Notes |
|---|---|---|
| CSV import | No | Not documented |
| Domain whitelisting | No | Automatic domain-based user add |
| IdP provisioning | No | Not documented |
How to remove or deactivate users
- Can delete users: Yes
- Delete/deactivate behavior: SproutVideo allows Owners and Admins to remove (delete) team members from the account via the Team Members settings page. Removal revokes access immediately. There is no documented 'deactivate' or soft-disable state; removal is permanent from the account context, though the removed user's SproutVideo account itself is not deleted.
- Log in as Owner or Admin.
- Navigate to Account Settings → Team Members (https://sproutvideo.com/account/team_members).
- Locate the team member to remove.
- Click the remove or delete action next to that team member.
- Confirm the removal.
| Data impact | Behavior |
|---|---|
| Owned records | Videos and content uploaded by the removed team member remain in the account; content is not deleted when a team member is removed. |
| Shared content | Shared folders and videos remain accessible to remaining team members with appropriate permissions. |
| Integrations | Not documented |
| License freed | Removing a team member frees their seat, making it available for a new invitation within the plan's seat limit. |
Watch out for:
- Removal is immediate; the user loses access as soon as they are removed.
- Content uploaded by the removed user is retained in the account and is not automatically reassigned to another user.
- Pending (unaccepted) invitations should also be cancelled if the seat needs to be reclaimed.
License and seat management
| Seat type | Includes | Cost |
|---|---|---|
| Team Member seat | One named user with an assigned role (Admin, Manager, or Viewer). Owner does not consume a seat. | Included within plan seat allowance; additional seats may require plan upgrade. Exact per-seat add-on pricing not publicly documented. |
- Where to check usage: Account Settings → Team Members - displays current team members and pending invitations against plan seat limit.
- How to identify unused seats: Review the Team Members list for pending invitations that have not been accepted; cancel unused pending invitations to reclaim seats.
- Billing notes: Team member seat limits are tied to the plan tier. Seed plan does not include team members. Sprout, Tree, and Forest plans include increasing seat allowances. Plan pricing ranges from $35/month (Sprout) to $295/month (Forest) as of last verified pricing. Seat counts per plan should be confirmed on the current pricing page as they may change.
The cost of manual management
Team member support is unavailable on the Seed ($10/month) plan; you must be on Sprout ($35/month) or higher to add any collaborators. Each plan tier caps the number of seats, and pending invitations count against that limit even before acceptance.
Exceeding the seat ceiling requires a plan upgrade - there is no documented per-seat add-on pricing.
What IT admins are saying
Community evidence is not specific enough to quote or summarize yet for this app.
The decision
If your team needs every app in your stack to reflect accurate access state, SproutVideo's manual workflow creates real exposure: there is no SCIM, no deactivation state, and no automated way to sync role changes across systems. Removal is immediate and permanent, which is operationally clean but leaves no audit trail of a suspended state.
Ownership transfer requires contacting SproutVideo support directly - plan for that dependency during any account transition.
Bottom line
SproutVideo's team management is straightforward for small video teams on Sprout or higher plans, but it scales poorly without automation. No SCIM, fixed roles, seat caps tied to plan tier, and a mandatory email-acceptance step before access is live all add manual overhead.
For organizations managing access across every app in their environment, the REST API is the only path to reliable provisioning and deprovisioning.
